Firebot.ai – Terms and Conditions Last Updated: 16/02/2026 These Terms and Conditions (“Agreement”) govern the use of the Firebot.ai software-as-a-service platform (“Service”) provided by Affinity Networks Ltd (“Company”, “we”, “our”, or “us”), a company registered in the United Kingdom. By subscribing to or using the Service via Microsoft Commercial Marketplace, you (“Customer”) agree to be bound by these Terms. 1. Service Description Firebot.ai is an Azure-native SaaS platform designed to automate firewall change governance, policy validation, risk assessment, compliance workflows, and deployment orchestration for regulated enterprises. The Service is delivered via Microsoft Azure infrastructure and may integrate with third-party systems including (but not limited to): Microsoft Entra ID ServiceNow Firewall vendors (e.g., Palo Alto Networks) Other enterprise IT systems configured by Customer 2. Eligibility The Service is intended for use by businesses and organisations only. By accepting these Terms, Customer represents that it has the authority to bind its organisation. 3. License and Access Subject to payment of applicable fees and compliance with this Agreement, Company grants Customer a limited, non-exclusive, non-transferable right to access and use the Service for internal business purposes. Customer shall not: Reverse engineer or attempt to extract source code Resell, sublicense, or redistribute the Service Use the Service for unlawful or malicious purposes Attempt to bypass security controls 4. Customer Responsibilities Customer is responsible for: Maintaining secure credentials and access controls Configuring integrations correctly Ensuring firewall deployment approvals are internally authorised Verifying changes before production deployment where required Customer acknowledges that Firebot.ai automates workflows based on inputs, configurations, and approvals provided by Customer personnel. 5. AI and Automation Disclaimer Firebot.ai uses AI-assisted analysis to support policy interpretation, compliance validation, and risk assessment. Customer acknowledges: AI outputs are advisory in nature Final approval authority remains with Customer Company does not guarantee regulatory approval or compliance outcomes Customer remains responsible for final production deployment decisions 6. Fees and Billing Fees are governed by the pricing terms published in Microsoft Commercial Marketplace. Unless otherwise agreed: Fees are subscription-based or usage-based (e.g., per policy change) Payments are processed through Microsoft Marketplace Fees are non-refundable except as required by law 7. Data Protection and Security Company implements industry-standard security controls including: Azure-native hosting Encryption at rest and in transit Role-based access control Managed identities and secret management Customer retains ownership of its data. Company acts as a data processor where applicable and processes Customer data solely for purposes of delivering the Service. For EU/UK customers, data processing aligns with applicable data protection laws including UK GDPR and EU GDPR. 8. Confidentiality Each party agrees to protect confidential information disclosed under this Agreement and not use such information except to perform obligations under this Agreement. 9. Intellectual Property All intellectual property rights in the Service, including underlying software, AI models, orchestration logic, and documentation, remain the exclusive property of Company. Customer retains ownership of its data, configurations, and firewall policies. 10. Availability and Support Company will use commercially reasonable efforts to maintain Service availability. Maintenance windows may occur periodically. Support levels, if applicable, are defined in the relevant Service Level Agreement (SLA), if provided separately. 11. Limitation of Liability To the maximum extent permitted by law: Company shall not be liable for indirect, incidental, special, or consequential damages Company’s total liability shall not exceed the fees paid by Customer in the twelve (12) months preceding the claim Nothing in this Agreement excludes liability for fraud, wilful misconduct, or liability that cannot be excluded under applicable law. 12. Indemnification Customer agrees to indemnify and hold Company harmless from claims arising from: Misuse of the Service Unauthorized deployment decisions Breach of these Terms 13. Term and Termination This Agreement remains in effect for the duration of Customer’s active subscription. Either party may terminate: For material breach (if uncured within 30 days) As permitted under Microsoft Marketplace subscription terms Upon termination, Customer access will cease and data retention will follow Company’s data retention policy. 14. Governing Law This Agreement shall be governed by the laws of England and Wales, unless otherwise required by applicable local law for Marketplace transactions. 15. Modifications Company may update these Terms periodically. Updated versions will be published via Microsoft Marketplace listing or Company website. Continued use of the Service constitutes acceptance of updated Terms. 16.
